Inventory count sheet for QuickBooks Online counts

A count sheet is the form a counter fills in for one location during a physical inventory count: the items found there and the quantity counted for each.

Also called: inventory count sheet, physical inventory count sheet

What goes on the sheet for one location

On count day, make one sheet per location. The unit of the count is the location, and the unit of the books is the item. After the count, add the sheets up per item. That total is what meets the book number.

QuickBooks Online Plus and Advanced keep one quantity on hand per item, with no location inside a warehouse. An item that sits in aisle 4 and in the overflow zone appears on two sheets, and you add the two quantities before you compare. The full process and the location detail are in the guides.

Put the location name at the top. Add one line per item with the item number and description, the unit of measure, and a blank column for the counted quantity. Leave room for the counter's name, the date and time, and the supervisor's initials. An empty location still gets a sheet, marked empty, so nobody wonders whether it was skipped.

A blind sheet and a sheet that shows the book quantity

A blind sheet leaves the quantity column blank and shows no expected quantity. The other kind prints the book quantity beside the blank. You decide which one your counters get.

A counter who sees the book quantity can count toward it. A blind sheet keeps each count apart from the books. A difference then means something. The blind count vs verified count page sets the two side by side.

The QuickBooks Online Physical Inventory Worksheet lists your inventory items with space to enter your physical count. It puts each item on one line with Quantity On Hand beside a blank Physical Count line, so a counter who holds it can see the expected quantity. It has no location column and no line for who counted, when, or a signature. The worksheet guide covers the rest.

Where Count fits

In InventoryWare Count, every counted quantity is recorded against a location, and an item's counted total is summed across the plan's locations. On the phone, the counter confirms the location by scanning or typing its label before the item step appears, and sees no expected quantity for what they count. Count prints location labels as a PDF, not count sheets.

InventoryWare Count is built for one complete physical inventory count, and posting adjustments to QuickBooks from a partial count is not available.
